Job Description

Under the direction of the Serials and Bibliographic Maintenance Lead, the Project Coordinator facilitates projects and ongoing workflows that support the Metadata and Acquisitions unit, including archiving, processing, cataloging, data analysis and communications for printed materials in ASU library collections. The Project Coordinator collaborates with stakeholders to plan, implement, and monitor projects, deadlines and workflows that strategically contribute to the discovery and fulfillment of library resources for all ASU communities. Using a team-based approach to problem-solving, the Project Coordinator actively contributes to effective workflow changes and improved cross-library communication practices.

Essential Duties

  • ​​​Coordinates and participates in print media and similar projects and workflows to meet deadlines and achieve strategic priorities by collaborating with stakeholders in appropriate Library units
  • Analyzes and develops reports for print media and other collections data to support decision-making at a variety of scales, and communicates results and recommendations to stakeholders.
  • Coordinates and conducts processing associated with bibliographic materials for print collections
    Oversees print serials gap-filling, in cooperation with partner libraries, including identifying, requesting, receiving and processing serial volumes
  • Trains and supervises student assistants and makes sure daily assigned tasks are completed. Utilizes established volume and workflow indicators to adjust staffing accordingly to ensure continuous compliance with deadlines and standards.
  • Works with department and library staff to develop and update operational procedures and process documentation; communicates changes to staff and other stakeholders.
  • Works collaboratively with cataloging and metadata staff to ensure best practices for care and handling of library materials.
  • Performs other duties as assigned

Minimum Qualifications

Bachelor’s degree and 2 years related experience; OR, any equivalent combination of education and/or experience from which comparable knowledge, skills and abilities have been achieved.

  • Experience effectively communicating complex ideas in written and visual formats to a broad audience.
  • Experience communicating with external stakeholders to build sustainable relationships of trust through open and interactive communication
  • Experience identifying, initiating, and coordinating process improvement in a team environment.
  • Experience in collecting, organizing, synthesizing and analyzing data; summarizing findings; developing conclusions and recommendations.
  • Experience  manage and bring to successful completion multiple overlapping assignments and projects.
  • Experience with library software systems, including creation and maintenance of bibliographic, holdings, and item data, both individually and at scale
  • Experience with serials maintenance and management.
  • Demonstrated knowledge of RDA, AACR2, and/or MARC bibliographic standards.
  • Supervisory experience.

Working Environment

  • Activities are performed in an environmentally controlled office setting subject to extended periods of sitting and/or standing. Exposure to dust and other airborne materials. Utilization of computer, phone, and various technologies (Zoom, Google, Dropbox, etc.), office equipment (fax, printers, copier, etc.), book carts. Regular review of completed tasks. May oversee student employees to ensure timely completion of assignments and/or to provide guidance or assistance to questions.
  • Frequent changes in priorities which may include and/or are subject to resolution of strategic or deadline conflicts
